Trainer Registration Terms
Version 1.1 — in force from 2 October 2026
1. Definitions and interpretation
1.1 In these Terms, the following words have the meanings given below:
(a) "TIB", "we", "us" and "our" mean Training Industry Body, as described in clause 2.1.
(b) "you" and "your" mean the person applying for, or holding, a registration as a Trainer under these Terms.
(c) "Scheme" means the standards-setting and quality-monitoring scheme TIB operates for training providers and trainers, starting with first aid training, as described on our website.
(d) "Provider" means a training organisation that TIB has approved to deliver TIB-recognised courses.
(e) "TIB-recognised course" means a course that a Provider is approved by TIB to deliver, as recorded by TIB.
(f) "Register" means the public register of registered trainers that TIB maintains and publishes, currently at industrybody.training/trainers/.
(g) "Register Reference" means the unique reference TIB allocates to a registration, in the format TIB-T-XXXX-XXXX.
(h) "Decision-Maker" means the person who makes a decision about your registration under clause 4.
(i) "Review Decision-Maker" means the person who decides a request for review under clause 8.3.
(j) "Declared Body" means a body or organisation, other than TIB, that you ask TIB to show as an affiliation of yours on the Register (for example, another awarding organisation you are also registered with).
(k) "Privacy Notice" means our privacy notice, currently published at industrybody.training/policies/, including its section on the public trainer register.
(l) "Writing" and "written" include email, and notice sent through any application or account system TIB provides for your registration.
(m) A reference to a clause is to a clause of these Terms, unless stated otherwise.
1.2 Headings are for convenience only and do not affect interpretation.
2. About TIB and the Scheme
2.1 TIB is Training Industry Body, a private company limited by guarantee without share capital, registered in England and Wales with company number 16659360, whose registered office is at 146-148 Audenshaw Road, Audenshaw, Manchester, M34 5HQ.
2.2 TIB sets and monitors standards for training providers and trainers under the Scheme. TIB is not a statutory regulator, does not claim statutory powers, and does not claim to be a body it is not. What TIB offers is a published, checkable standard, independent monitoring against it, and a public record that anyone can verify. Our impartiality statement and standards are published on our website.
2.3 These Terms govern your registration as a Trainer under the Scheme. They do not apply to a Provider's approval, which is governed by separate provider terms.
3. Eligibility and application
3.1 To apply for registration, you must complete our application process and provide the evidence we ask for. This will typically include evidence of:
(a) a current first aid (or other relevant subject) qualification, or registration with a recognised clinical body, appropriate to what you teach;
(b) a recognised qualification in training and/or assessing;
(c) appropriate insurance; and
(d) your continuing professional development (CPD) record.
3.2 We may ask for further evidence relevant to your application, and may ask you to update evidence you have already provided.
3.3 We decide whether to register you, and the scope of that registration, based on the evidence you provide and our published standards as they stand at the time. We may refuse an application, or register you for a narrower scope than you applied for. We will normally give you a brief explanation of the standard or standards not met, but we are not obliged to disclose internal assessment notes, third-party information or detailed decision-making records.
3.4 Your registration does not take effect, and you are not entered on the Register, until you have accepted these Terms (clause 7.9) and we have recorded an approval decision against your application with a valid-until date.
4. Our decision-making and independence
4.1 Decisions about your registration — approval, renewal, suspension, reinstatement and withdrawal — are made by a Decision-Maker: an external quality assurer appointed by TIB, or a person authorised by TIB. A Decision-Maker never makes a decision about their own registration.
4.2 Every Decision-Maker must declare their interests in TIB's conflict of interest register and confirm the declaration at least every 12 months. An interest includes owning, managing or working for a Provider (as an employee or on a freelance basis), or otherwise having a material connection with it.
4.3 A Decision-Maker who has an interest in the Provider through which you registered may make a decision about your registration only if all of the following apply:
(a) the interest is declared in the register;
(b) someone other than the Decision-Maker has reviewed it, decided that the Decision-Maker may act, and recorded how the interest is managed; and
(c) when making the decision, the Decision-Maker confirms that they have no interest in you or that Provider other than those declared.
The record of the decision identifies the declaration it relied on.
4.4 Where the Provider is connected to an officer of TIB, that officer does not make decisions about your registration. They are made by an external quality assurer, as our impartiality statement describes.
4.5 This is part of how TIB manages conflicts of interest within the Scheme. Our impartiality statement, published on our website, explains this in full, including who reviews declarations that concern TIB's own officers.
5. Duration, renewal, expiry and automatic suspension
5.1 An approval of your registration carries a valid-until date. We set this date based on the earliest expiry among the credentials we rely on for your registration — for example your first aid qualification, your training/assessing qualification, or your insurance.
5.2 We will remind you by email before your valid-until date, generally at 60, 30 and 7 days beforehand, so you can renew in good time. You are responsible for making sure we hold a current email address for you (clause 6.1) and for renewing before your valid-until date; a missed reminder does not extend your registration.
5.3 If your registration is not renewed by its valid-until date, it expires automatically from the day after that date, and your entry shows as Expired on the Register until you renew. Expiry is an administrative record that your registration has reached its end date. It is not a finding against you, and the Register says so.
5.4 Renewal is a new approval decision, made on the same basis as your original application, with a new valid-until date.
6. Your obligations
6.1 You must keep the information and evidence we hold about you current, and tell us in writing within 14 days of any change that could affect your eligibility or the scope of your registration — including a change to your contact details, a lapse or change in a qualification or registration we rely on, a change in the Provider(s) you deliver TIB-recognised courses for, or a change affecting a Declared Body (clause 7.4).
6.2 You must tell us immediately, and in any event within 7 days, if:
(a) a professional or clinical registration we rely on is suspended, removed or made subject to conditions;
(b) you become subject to any safeguarding restriction, barring or disqualification;
(c) you are the subject of a finding of serious misconduct, or a criminal charge or conviction relevant to your work as a trainer; or
(d) any other body begins an investigation into, or imposes a sanction on, your work as a trainer.
6.3 You may describe yourself as a "TIB-registered trainer" and may use your Register Reference only while your status is Approved, and only in a way that is accurate — for example, "TIB-registered trainer, ref TIB-T-XXXX-XXXX". You must not describe yourself in a way that implies TIB approves, endorses or has verified a course, provider or qualification that TIB has not in fact approved, endorsed or verified.
6.4 You must not use TIB's name, branding or Register Reference in a way likely to mislead, or in connection with anything that is not a TIB-recognised course.
6.5 You are responsible for the accuracy of anything you ask us to show about you on the Register, including any Declared Body (clause 7.4).
7. The public Register
7.1 Publication is a condition of registration. Being listed on the Register is part of what registration under the Scheme means, not an optional extra. Acceptance of these Terms is a condition of registration and authorises publication of the information described in clauses 7.2 to 7.4 for the periods set out in clause 7.5. If you are not willing to be listed on the Register on this basis, we cannot register you.
7.2 What is published. While your entry is visible under clause 7.5, the Register shows the following, together with the information in clauses 7.3 and 7.4, and nothing else:
(a) your name as registered with us;
(b) your Register Reference;
(c) your status — Approved, Expired, Suspended or Withdrawn;
(d) the date you were first approved;
(e) the date of your current status;
(f) your valid-until date, while your status is Approved; and
(g) a short description of the scope of your registration (for example, the subjects or course types you are registered to deliver).
We do not publish the reasons for any status, any findings, or any disciplinary detail — only the status itself and the dates above.
7.3 Provider shown on the Register. Where we have confirmed that you deliver TIB-recognised courses for one or more Providers, the Register shows those Providers, for as long as each remains approved by TIB. This is information TIB has checked and confirmed itself.
7.4 Other bodies you declare. You may ask us to show other bodies or organisations you are also registered with (for example, another awarding organisation) as Declared Bodies on the Register. Any such entry is clearly labelled "declared by the trainer — not verified by TIB". TIB can confirm only your registration with TIB; we do not and cannot verify your standing with any other body. You are responsible for the accuracy of anything shown under this clause and must tell us in writing within 14 days if it stops being true. We may decline or remove any such entry at our discretion and without obligation to provide detailed reasons — for example, if we cannot verify it, if it is misleading, or if showing it could be read as TIB endorsing that body or that body endorsing TIB.
7.5 How long an entry stays visible.
(a) While your status is Approved, Expired or Suspended, your entry is shown on the Register.
(b) If your registration is withdrawn — by us under clause 8, or by you under clause 9 — your entry continues to show as Withdrawn, with the withdrawal date, for 24 months from that date. After 24 months it no longer appears on the public Register. We keep our own record of it regardless.
7.6 Lawful basis. We publish the information in clauses 7.2 to 7.4 under UK GDPR on two bases: it is necessary to perform our contract with you for registration under the Scheme (Article 6(1)(b)); and, in particular for continuing to show a Withdrawn entry for the period in clause 7.5(b), it is necessary for the legitimate interests of TIB and the public in enabling employers, learners, Providers and assessment organisations to verify a trainer's current status (Article 6(1)(f)). We do not rely on your consent for publication. Publication is a condition of registration rather than a separate choice you make, and it would be inaccurate to describe it as something you could withdraw at any time while remaining registered. Further detail is in our Privacy Notice.
7.7 No special category data. We do not publish special category data (such as health information) on the Register, and we publish nothing beyond clauses 7.2 to 7.4.
7.8 Your right to object. Where we rely on legitimate interests (clause 7.6) — most relevantly, the continued display of a Withdrawn entry under clause 7.5(b) — UK GDPR gives you a right to object on grounds relating to your particular situation. If you object, we will consider it and will stop that processing unless we have compelling legitimate grounds that override your interests, rights and freedoms, or we need to continue for the establishment, exercise or defence of legal claims. Given the public-protection purpose of the Register, we expect there usually to be such grounds for continuing to display a Withdrawn entry for the period in clause 7.5(b), but each objection is assessed on its own facts rather than refused automatically. This right does not apply to the contract basis for the other elements of publication; a trainer who does not accept publication under clause 7.1 cannot be registered.
7.9 Evidence of your agreement. Your acceptance of these Terms, including the publication condition and the version of these Terms you accepted, is recorded against your registration decision as our record of your agreement.
7.10 Search engines and copies held by others. The Register is searched by name or Register Reference; it does not publish a browsable list of trainers, and we ask search engines not to index individual search results. Even so, we cannot control what third parties do: although we remove entries when the period in clause 7.5 ends, copies of Register information may remain in search-engine indexes, internet archives or other third-party systems beyond our control.
8. Suspension and withdrawal by TIB
8.1 We may suspend or withdraw your registration if we reasonably believe you no longer meet our standards, have breached these Terms, or that continuing your registration would pose a risk to learners, employers or the standards of the Scheme — for example because of a finding from monitoring, a complaint, or a breach of clause 6. (Expiry under clause 5.3 is separate and is not a suspension.)
8.2 A decision to suspend or withdraw your registration is made as described in clause 4. We will tell you the reason in writing, privately. As set out in clause 7.2, the Register itself shows only your status and the relevant dates — never the reason or any finding.
8.3 If you disagree with a suspension or withdrawal decision, or a refusal under clause 3.3, you may ask us in writing, within 14 days of our decision, to review it. Your request will be decided by a Review Decision-Maker appointed by TIB, who was not involved in the original decision and who meets the same independence requirements as clause 4. Asking for a review does not itself suspend the effect of our original decision unless we tell you otherwise in writing. The Review Decision-Maker's decision is final within the Scheme. This does not affect any legal right you have outside the Scheme.
8.4 Withdrawal is terminal for that registration. If you wish to be registered again afterwards, you must make a new application, which we will consider on its merits; a new registration carries a new Register Reference.
9. Withdrawal by you
9.1 You may ask us in writing to withdraw your registration at any time. We will record the withdrawal with the effective date you request, or the date we receive your request, whichever is later.
9.2 Your entry will then show as Withdrawn on the Register, in the same way as a withdrawal by us, for the period set out in clause 7.5(b).
9.3 Withdrawing your registration under this clause does not entitle you to a refund of fees already paid, except where clause 10 or the law provides otherwise.
10. Fees
10.1 Any fee for registration or renewal will be notified to you in writing before you apply or renew. No fee is payable unless it was notified to you in advance.
10.2 We may change our fees. A change does not apply to your registration until your next renewal, unless we tell you otherwise in writing in advance.
10.3 Fees already paid are non-refundable, except where we told you otherwise in writing when the fee was notified or where required by law.
11. Data protection
11.1 TIB is the data controller for personal data we process in connection with your application, your registration, and the Register.
11.2 We rely on different lawful bases for different processing. For the Register specifically, see clause 7.6 (contract and legitimate interests, not consent). For other processing — such as handling your application and evidence, and our internal records — our lawful bases and full detail are set out in our Privacy Notice, which forms part of these Terms by reference.
11.3 You have rights under UK GDPR in relation to your personal data, including rights of access, correction, erasure, restriction, portability, and objection (see clause 7.8 for how objection applies to the Register). Our Privacy Notice explains how to exercise these rights and how to complain to the Information Commissioner's Office.
11.4 If there is ever a conflict between this clause and the Privacy Notice on how we process personal data, the Privacy Notice governs that processing; these Terms govern the specific publication condition in clause 7.
12. Liability
12.1 Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot be excluded or limited by law.
12.2 Subject to clause 12.1, we are not liable to you for any indirect or consequential loss, or for loss of profits, business, contracts or anticipated savings, arising out of or in connection with your registration or these Terms.
12.3 Subject to clause 12.1, our total liability to you arising out of or in connection with your registration, whether in contract, tort (including negligence) or otherwise, shall not exceed the greater of (a) the total fees you have paid us in the 12 months before the event giving rise to the claim and (b) £1,000.
12.4 We do not warrant or guarantee that any Provider you deliver courses for, or any course you deliver, will continue to be approved by us, or that your registration will result in any particular business outcome for you.
13. Changes to these Terms
13.1 We may update these Terms from time to time — for example, to reflect changes to the Scheme, the law, or how the Register operates.
13.2 We will publish the current version of these Terms, with its version number and date, on our website, and will tell registered trainers of a material change by email at least 30 days before it takes effect.
13.3 If you do not accept a material change, you may withdraw your registration under clause 9 before the change takes effect. Continuing your registration after a material change takes effect means you accept it.
14. General
14.1 Notices. We will send notices to the email address you most recently gave us. A notice sent by email is treated as received on the next working day after it is sent, unless we receive a message that it could not be delivered. You may send notices to us through the contact details on our website.
14.2 Our name and materials. TIB's name, logos, marks, standards and website content remain TIB's property. Apart from the accurate use permitted by clause 6.3, these Terms do not give you any right to use them.
14.3 Events outside our control. We are not responsible for a delay or failure in performing these Terms caused by events beyond our reasonable control, but we will take reasonable steps to limit the effect.
14.4 Complaints. A complaint about TIB's service (as distinct from a request for review under clause 8.3) can be raised through the contact page on our website and is handled under the complaints process described on our quality page.
14.5 These Terms, together with our Privacy Notice and the published standards and scope documents referred to in them, are the entire agreement between you and TIB relating to your registration, and replace any earlier understanding on that subject.
14.6 If any part of these Terms is found unenforceable, the rest continues to apply.
14.7 Nothing in these Terms makes you an employee, agent or partner of TIB.
14.8 You may not transfer your registration or rights under these Terms to anyone else.
14.9 No one other than you and TIB has any right under the Contracts (Rights of Third Parties) Act 1999 to enforce any of these Terms.
15. Governing law and jurisdiction
These Terms, and any dispute arising out of or in connection with them (including a non-contractual dispute), are governed by the law of England and Wales. The courts of England and Wales have exclusive jurisdiction over any such dispute.
